Privacy Notice

This notice explains what personal information I hold, why I hold it, and what you can ask me to do with it. I am a sole trader — there is no company, no staff and no third party handling your details. It is just me.

Who I am

Emma Wimhurst, a self-employed Business tutor based in Wimborne, Dorset. I am the data controller for the information described here.

What I collect

I deliberately collect as little as possible.

  • From this website: a phone number, and only if you choose to use the call-back form. It is emailed to me and is not stored on the website or in any database.
  • When we start working together: your name and contact details as the parent or carer, your child’s first name, year group and exam board.
  • While I teach your child: brief notes on what we have covered and where the marks are being lost.
  • For invoicing: the records HMRC requires me to keep.
  • Anything you choose to tell me about your child’s health, learning needs or circumstances, where it helps me teach them well. I do not ask for this, and you do not have to give it.

Why I hold it, and my lawful basis

  • To arrange and deliver lessons and to invoice you — because we have a contract.
  • To reply to an enquiry — because you asked me to, and because I have a legitimate interest in answering people who contact me.
  • To keep short teaching notes — legitimate interests: I cannot teach your child properly without remembering what we did last week.
  • To keep financial records — because the law requires it.
  • To ring you back after you use the form — because you ticked the box giving consent. You can withdraw that at any time.

Children’s information

I teach young people, most of them under eighteen. My agreement is always with the parent or carer, not the child. I hold the minimum I need — usually a first name, a year group and an exam board — and I do not ask children for personal details directly.

Who I share it with

Nobody, with four exceptions:

  • Microsoft, because lessons run on Teams and OneNote and that content sits in my Microsoft 365 account.
  • My accountant and HMRC, for invoices and tax records.
  • My website host and email provider, who transmit and store messages in the ordinary course of running a website and an inbox.
  • Safeguarding authorities, if I ever believe a child is at risk of harm. See my safeguarding statement.

I do not sell your details, rent them, or add you to a marketing list. I do not run advertising.

How long I keep it

  • Phone numbers from the website form: deleted once we have spoken, and in any case within 30 days.
  • Contact details and teaching notes: kept while I am teaching your child and for twelve months afterwards, in case you come back.
  • Invoices and financial records: six years, which is what HMRC requires.
  • OneNote workbooks: your child’s to keep. I delete my copy twelve months after our last lesson.

Where it is kept and how it is protected

On my own password-protected devices and in my Microsoft 365 account, which is protected by two-factor authentication. I do not keep paper files of anything that identifies a child, and I do not carry your details around on a memory stick.

Your rights

You can ask me to:

  • show you what I hold about you or your child
  • correct anything that is wrong
  • delete it
  • stop using it, or restrict how I use it
  • give you a copy to take elsewhere
  • stop contacting you, at any time

Email me and I will do it — normally the same week, and within one month at the latest. There is no charge.

If you are not happy with how I have handled your information you can complain to the Information Commissioner’s Office at ico.org.uk or on 0303 123 1113. I would rather you told me first so I can put it right.

Cookies

This website sets no advertising or analytics cookies and does not track you. It uses only the cookies WordPress needs to function. Nothing is shared with Google or any advertising network, and the fonts are served from this website rather than from a third party.
